Everything you need to know about using Rapid Caster.

Getting Started

Click the + button (mobile) or the Upload button on the Videos page. You can upload a video file directly from your device, or paste a link from YouTube, TikTok, Instagram, Twitter/X, Vimeo, or Dropbox.

You can upload MP4, MOV, MKV, and most common video formats. For links, we support YouTube, TikTok, Instagram, Twitter/X, Vimeo, and public Dropbox share links.

Most videos finish within 1-3 minutes depending on length. You will see the progress bar at the top of the page while it is processing. A short notification-style update appears when it is done.

Your video is automatically transcribed and analyzed. You will get a full summary, topic breakdown, key moments, clip suggestions, captions, a newsletter draft, and more — all from a single upload.

Podcast Pipeline

Go to the Podcast section and click "Add Guest". Enter their name and any details you know — topic, bio, contact info. Everything else is generated for you automatically.

A research brief, three title options, an episode title, a voiceover intro, 10 interview questions, a Spotify caption, a YouTube caption, and an outreach message — all written automatically when you add the guest.

Each guest card lives in one of six stages: Idea, Outreach, Confirmed, Recording, Editing, Done. Drag cards between columns to update their status, or click a card to open the full episode workspace.

Yes — everything is editable. Click any field inside the episode page to edit it. Changes save automatically when you click away.

Each episode comes with a production checklist of 13 tasks (outreach sent, shoot booked, editors notified, etc.). Check items off as you go to track your progress.

Sponsors

Go to Podcast, then Sponsors and click "Add Sponsor". Enter their company name, contact info, deal value, and any notes.

Yes — inside each sponsor card, click "Link Episodes" to connect them to one or more of your episodes. This helps you track which episodes a sponsor is associated with.

Inside a sponsor card, click "Generate Script". It writes a natural 30-60 second ad read using the sponsor details you entered, optionally tailored to a specific episode. You can edit and save it directly.

Dashboard

The Dashboard is your home base inside Rapid Caster. It shows your key stats (total videos, episodes, guests, etc.), quick action buttons to jump into common tasks, and a feed of your recent activity so you always know where you left off.

The Dashboard updates automatically based on your activity. The stats, quick actions, and recent activity feed all reflect your current content — no manual setup needed.

Content Pipeline

The Content Pipeline is an AI-powered guest management system that takes you from initial idea all the way to a completed episode. Add a guest, move them through stages (Idea, Outreach, Confirmed, Recording, Editing, Done), and generate all the content you need at each step.

The Content Pipeline builds on the Podcast Pipeline with deeper AI integration at every step. Every stage of the guest and episode journey — from research and outreach to show notes and social posts — now has built-in AI generation.

Deep Guest Research

Deep Guest Research uses AI to generate a detailed research brief for any guest you add. It includes talking points, potential controversies, audience hooks, background context, and unique angles — everything you need to prepare for a great interview.

Open any guest in the Content Pipeline and click the research or generate button. The AI will produce a full research brief that you can review and edit before your recording session.

Episode Content Generation

You can generate show notes, timestamps, key takeaways, pull quotes, full blog posts, Twitter threads, LinkedIn posts, and newsletters — all AI-generated from your episode transcript or guest details.

Some content (like show notes and social posts) can be generated from guest details alone. For transcript-based content like timestamps, takeaways, and blog posts, you need to link a processed video to your episode first.

Video Linking

Video Linking lets you connect a processed video to a podcast episode. Once linked, the episode can use the video transcript to generate more accurate and detailed content like timestamps, pull quotes, takeaways, and blog posts.

Open an episode in the Content Pipeline and look for the video linking option. You can select any video that has already been uploaded and processed in your Videos section.

Brand Kit

The Brand Kit lets you save your podcast name, brand colors, and social media links in one place. This information is used by the AI when generating content so everything stays on-brand.

You can find the Brand Kit in your Podcast settings. Enter your podcast name, choose your brand colors, and add links to your social media profiles. The AI will reference this info when generating captions, newsletters, and other content.

Social & Captions

Go to Podcast, then Social and click "Generate Post". Select your episode, choose the platforms, and optionally pick a caption template. The caption is generated and saved as a draft for you to schedule or post.

Templates let you define a specific writing style for your captions — tone, platforms, and detailed instructions. Once saved, you can reuse them every time you generate a post.

Yes — set a date and time when generating or editing a post. It will appear in the calendar view on the Planner tab. Use "Mark as Posted" to track what has gone out.

The Social Posts Generator creates platform-specific posts for Twitter, LinkedIn, Instagram, and more. It tailors the tone, length, and formatting for each platform so you can repurpose your content across all your social channels with one click.

Clips & Repurposing

Open a video and go to the Clips tab. You will see clip suggestions with exact timestamps. Click any clip to see its caption options for different platforms.

The Repurpose tab lets you turn your video into other formats: a newsletter, a tweet thread, a LinkedIn post, and more. Each one is generated from your transcript — just click and copy.

Yes — go to the Repurpose tab and use the AI Thumbnail Generator. It generates stunning AI backgrounds and composites your real face (extracted from the video) on top. Choose from 14 platform presets (YouTube, Instagram, TikTok, etc.) or set custom dimensions in px, inches, or cm. You can guide the scene with AI suggestions, a visual customizer, or a fully custom prompt. Costs 4 credits per image.

Newsletter Generator

Open a processed video and go to the Repurpose tab. Click the Newsletter section and choose a format. The newsletter is generated automatically from your transcript.

Yes — once your newsletter is generated, click "Send to List" and select one of your contact lists from the CRM. You need to have Resend configured in your settings for email delivery.

Yes — go to the Repurpose section and click "New Newsletter". You can write your content from scratch or paste in text.

You can choose from several built-in formats including standard newsletter, key takeaways, deep dive, and quick recap. You can also create custom formats.

CRM & Contacts

The CRM organizes your contacts into pipeline stages that you define. Drag contacts between stages to track their progress. Click any contact to see their full profile, notes, and activity history.

Go to the CRM section and click "Add Contact". Enter their name, email, phone, company, and any notes.

Yes — the CRM includes full search, tagging, and filtering. Use the search bar to find contacts by name or company, add tags to categorize them, and use filters to narrow down your list by tag, stage, or other criteria.

Lists are groups of contacts. Campaigns let you send an email or SMS to an entire list at once. Create a list, add contacts to it, then create a campaign targeting that list.

Currently, contacts are added manually through the CRM interface. Bulk import from CSV is planned for a future update.

Email & SMS

Go to Settings and enter your Resend API key. Resend handles email delivery. Once configured, you can send newsletters, campaign emails, and individual messages from within the app.

Go to Settings and enter your Twilio Account SID, Auth Token, and phone number. Once configured, you can send SMS messages to contacts in your CRM.

You can send newsletters to your email lists, campaign messages (email or SMS) to contact lists, and individual messages to specific contacts.

Sending limits depend on your Resend and Twilio account tiers, not RapidCaster. Check your provider dashboards for your current sending limits.

Video Compressor

The compressor supports MP4, MOV, MKV, AVI, and WebM input files. Output is always MP4 for maximum compatibility.

You can compress to 1080p, 720p, 480p, or 360p. The compressor maintains the original aspect ratio while reducing file size.

Typical compression reduces file size by 40-70% while maintaining good visual quality. Lower resolution settings achieve greater size reduction.

The Video Compressor is available as a tool in your dashboard. Upload a video, select your target resolution, and download the compressed file.

Blog Post Generator

Open any processed video and go to the Repurpose tab. The Blog Post section uses AI to turn your video into a full blog article — complete with an intro, structured sections, and a conclusion. It works with any video source (YouTube, Instagram, TikTok, uploads, etc.).

You can generate short posts (300-500 words), medium posts (800-1200 words), or long-form posts (1500-2500 words).

Yes — generated blog posts include a suggested title tag, meta description, header structure (H1, H2, H3), and naturally incorporated keywords.

Yes — click the copy button to copy the full post to your clipboard. You can paste it directly into WordPress, Ghost, Substack, or any other platform.

Account & Billing

Go to Settings and click "Upgrade Plan", or visit the Pricing page. You can upgrade, downgrade, or manage your billing through your account portal.

Click your profile picture or name at the bottom of the sidebar and select "Sign Out".

Refresh the page first. If the issue persists, try signing out and back in. If it still happens, email us at support@therapidcaster.com.
